The "Service (Front Office) Department" within the Registrar's Office of Tashkent Chemical-Technological Institute is responsible for providing academic transcripts, student certificates, payment agreement documents, and other certificates to the institute's students. It also organizes tasks related to student accounting and marketing processes, provides consultations and answers to students' questions, participates in resolving accommodation issues for students, and helps them solve their problems.

The purpose is to effectively organize the student management system at the institute, ensuring the quality, speed, and transparency of services. It aims to effectively organize and supervise the process of providing academic certificates, transcripts, student IDs, payment agreements, and other information. Additionally, it seeks to respond quickly to students' questions and assist in finding solutions to their problems.

Organizing the work of office staff in the Service (Front Office) Department and assisting the office director in directly managing them;

Temporarily performing the duties of the office director in their absence from the workplace;

Coordinating the activities of the sectors within the Service (Front Office) Department;

Organizing the types of services related to the academic process for students through the system.

Assisting students with the organization of the educational process, providing relevant information related to the academic process, and helping students use electronic platforms effectively;

Assisting in the organization of services related to scientific and innovative activities for students;

Establishing services for international relations and academic mobility within the office;

Assisting in organizing marketing and accounting services in the office;

Providing relevant advice to professors, teachers, and students regarding the system;

Organizing retakes to eliminate discrepancies in the academic programs;

Ensuring the use of educational platforms such as "HEMIS", "Moodle", "LMS", and the interdepartmental electronic document circulation system "Ijro.gov.uz";

Organizing student mobility through the electronic education platform of the higher education institution based on the regulations for admissions, transfers, reinstatements, and expulsions (transfers, academic leaves, reinstatements).

1. Responsibilities of the Managers in the Service (Front Office) Department:

1.1. Student Service Sector:

Providing information about various services and resources available at the higher education institution;

Providing information on class schedules;

Providing students with information about ongoing, intermediate, and final assessments, exams, and retakes;

Providing students with a certificate regarding their GPA;

Preparing summons for students enrolled in external and distance education modes;

Providing academic certificates and transcripts;

Creating and issuing student certificates in the "HEMIS" information system.

Providing consultations regarding admissions and transfers;

Accepting all student applications and explanatory letters in accordance with the established procedure and submitting them to the "Database" department for proper processing;

Assisting in submitting applications for retaking courses and joining academic groups;

Assisting in submitting applications for transfers and reinstatements;

Helping students with online applications for second-degree admissions to higher education institutions;

Assisting students in submitting online applications for admission to the master's program at higher education institutions;

External services: Synchronizing the list of students registered in the Social Protection Registry and Women's Register with the Unified Registry Database and forming a list in the HEMIS platform;

Assisting students in obtaining medical insurance;

Helping students write applications for housing subsidies;

Assisting students in submitting applications for accommodation in dormitories;

Assisting students residing on a rental basis in formalizing documents for a 50% rent subsidy (not exceeding half of the base calculation amount) from the state budget.

2.2. Services in the Scientific and Innovative Activity Sector:

Providing information about grants and competitions;

Providing information about scientific conferences;

Assisting in registering innovative ideas and startups;

Providing information about named scholarships and assisting in the application process;

Offering consultations regarding scientific projects;

Assisting students in joining the "Mentor-Disciple School”.

Providing information to students about scientific circles and offering practical assistance in joining those circles.

2.3. Services provided by the International Relations and Academic Mobility Service Sector:

Provide an English-language certificate from the place of study;

Provide information on various international grants and academic mobility programs;

Register foreign students admitted for studies in the electronic system and assign them to subjects;

Provide consultation on studying at foreign universities;

Assist foreign students in obtaining visas;

Provide payment contracts to foreign students;

Assist foreign students with temporary registration in the Republic of Uzbekistan;

Provide consultation on the admission of foreign students, review applications and required documents;

Provide foreign students with information on academic processes at higher education institutions;

Provide information on joint education programs and promote them among students;

Provide information on the "El-yurt umidi" foundation scholarship contest and foreign announcements for studying abroad;

Provide information on higher education institutions that have ranked in international ratings (QS, THE, Green Metric);

Provide information to students on agreements and declarations signed at international forums;

Provide information on foreign language learning courses.

2.4. Services provided by the Accounting and Marketing Service Sector:

Offer advice on job placement for students;

Create a list of potential employers and deliver it to students;

Input and retrieve data on employed graduates in the “HEMIS” information system;

Prepare, formalize, and hand over all necessary documents related to graduate employment and placement;

Determine, calculate, and provide information on payment contract amounts, and assist in submitting an application for a payment contract;

Determine and approve the payment amounts for re-studying academic debt students, and assist in applying for a re-enrollment contract;

Provide certificates on scholarships;

Calculate, approve, and account for the hourly payment amounts for professors-teachers involved in re-studying academic debt students.
